Online Nomination Service for Partner Universities
The University of Bergen is currently implementing a new online nomination and application service for admission of exchange students.
Below you can find a step by step guide to our planned online nomination service. UiB's partner institutions will receive an e-mail with username and instructions for how to use the service for nomination of students to the University of Bergen. The service is currently not available, this webpage is for your information as a partner university only.

Nomination Process for Partner Institutions
Partners must upload the student's relevant documents in the nomination process. Alternatively the students may upload their own documents when they complete their application.
STEP 1 - Log in:
Please follow the link to the University of Bergen’s online nomination service that will be given in an e-mail from the Division of Student Affairs. The nomination application supports Internet Explorer 8 or newer versions, along with most other browsers (e.g. Safari, Opera, Firefox, Chrome).
- Username: Your username is the e-mail we have registered on the agreement and that will be sent to you in an e-mail from the University of Bergen, Division of Student Affairs. (If you have not received this e-mail, please see "Contact us" below).
- Password: The first time you log in, you must order the password from the log in page. Enter your e-mail address (the address stated in the email from the University of Bergen) and click on "Send password".
STEP 2 - Choose relevant agreement:
After log in you will see an overview of the agreements registered between your institution and the University of Bergen (the agreements that are registered on your username/e-mail). Select the relevant agreement from the list and click on the button “Add new nomination” to nominate a student on the agreement.
STEP 3 - Register nominated students:
Add the student's information starting with the student's e-mail address. Please take care to enter the date of birth correctly on the format YYYY.MM.DD. Please also choose correct term(s) for admission (spring 2014 or spring 2014 and autumn 2014). Please note that Erasmus students cannot be nominated for spring-autumn.
When you have completed all the required student information, click on "Add Nomination" to save the data. After approx. 30 minutes the system will send a confirmation e-mail to the nominated student's e-mail address with a copy to you. If you wish to cancel the nomination of the student, no e-mail will be sent if you cancel by clicking on the delete button (red circle with the white cross) within 30 minutes.
Please note that the data you have entered about the student cannot be edited once it has been entered by clicking on the "Add Nomination" button. If you typed incorrect data, you must delete the nomination using the delete button (red circle with the white cross) and then click “Add New Nomination” to start the process again.
STEP 4 - Upload relevant documents:
Click on “Documents and Details” under the “Action” section for each student you have nominated. To upload documents, click on “Choose”. The documents you browse for and open will be uploaded directly into the system. You can click on “Download” if you need to check the uploaded document, or “Delete” if you want to remove it. Alternatively your students can upload their own documents when completing their application.
Repeat the process for each student you wish to nominate.
Relevant documents for all students (Erasmus, Nordplus, bilateral):
- Transcripts of records/mark sheet/index/ relevé de notes of post secondary education in English or a Scandinavian language (if in original other language, a translation must be attached as well). NB! The student must have completed courses amounting to at least 60 ECTS credits altogether
- Translations in English or a Scandinavian language of transcript of record/ mark sheet/index/relevé de notes of post secondary education (We accept a non-official translation if stamped and signed by an officer at the partner university)
- Letter of motivation (only applies to applicants to English courses at the Department of Foreign Languages, courses with the code ENG)
- Letter of recommendation (only applies to applicants to English courses at the Department of Foreign Languages, courses with the code ENG)
STEP 5 - Add more students :
Complete Steps 2 and 3 for each student your institution wish to nominate to the University of Bergen. Once you have added a nomination, see the list of students you have nominated, and their status.
You may now see the details and upload documents for each student you have nominated, by clicking on the button "Documents and Details", or nominate more students.
You may log in again later to upload more documents and to check the application status of your nominated student(s).
After Nomination
E-mail to students: When you have finished the nomination, the students you have nominated will receive an e-mail from the University of Bergen to confirm that they have been nominated by your institution. The students will be given further instructions for completing their application in the University of Bergen’s online application service for students (SøknadsWeb).
Student application status: You can keep track of each student's status by logging in on the online nomination service at any time. You can see all relevant agreements and the application status of your nominated students on the “Available agreements and admission” webpage: nominated, applied, admission granted, withdrawn etc. You may also upload further documents for each student.

Application process for students
The nominated students will receive an e-mail which contains a link to the University of Bergen’s online application service ("SøknadsWeb") and instructions on how to complete their application there.
After admission
We will send out Letters of Acceptance in the period from the beginning of November to 1 December for students accepted for the spring semester, and from the middle of May to 1 July for the autumn semester. Together with the Letter of Acceptance students will also receive directions on how to go to the online Declaration of Acceptance form, which must be submitted before 15 December for the spring semester and 15 July for the autumn semester.-

*Information for Nordplus/Nordlys partners
All Nordplus/Nordlys partners who wish to nominate students must contact us at exchange-students@uib.no and provide us with the student's data: full name, student e-mail, agreement area and period of stay/semester. UiB will complete the online nomination process for our partners and then the student's will receive an e-mail with instructions on how to complete their application, as described above in step 5 under 'After Nomination'.
