Before the Conversation

  • Gain a clear understanding of the situation and assess relevant factors.

  • Reflect on potential challenges and the need for adjustments.

  • Familiarize yourself with the principles of proper case handling:

    • Investigation – Speak with relevant individuals.

    • Right to be heard – All parties must be given the opportunity to express their views.

    • Documentation – Everything must be recorded in writing.

    • Impartiality – Assess your own role and objectivity.

    • Confidentiality – Share information only with those who need to know.

Personal Preparation

  • Take a moment to collect yourself before the meeting.

  • Prepare a clear plan of what you want to address.

Framing the Conversation

  • Set aside sufficient time and choose a quiet location.

  • Clearly explain the purpose, topics, and expected duration.

  • Offer the option for a support person to be present.

  • Clarify that breaks and follow-ups are possible.

During the Conversation

  • Opening – Be clear, listen actively, and show understanding.

  • Offering Support – Be empathetic, but not a therapist. Provide sincere praise.

  • Facilitation – Explore possible solutions and involve support systems.

  • Summary – Repeat agreements and outline the next steps.

After the Conversation

  • Follow up regularly and adjust measures as needed.
