Creating Forms with Skjemaker

You can create simple registration forms yourself, or request assistance from the IT department for more advanced forms. It is important to determine early on what type of form is needed for your event.

Suggestions for text/fields/links to include in a registration form:

• Name of the conference/event
• Organiser
• Information about the topic
• Link to the programme/event website
• Date
• Venue
• Time
• Registration fee (Consider differentiated pricing; Early bird? Discount for students?)
• First name
• Last name
• Institution
• Faculty/department
• Email address
• Accommodation
• Registration for all receptions/conference dinner
• Special requirements: Allergies/Vegan/Meat*
• Registration deadline
• Option to cancel registration

When collecting personal data through Skjemaker, it is essential to comply with the General Data Protection Regulation (GDPR). This includes:

• Clearly informing participants about how their data will be used, stored, and deleted.
• Ensuring that only necessary data is collected.
• Avoiding the collection of sensitive personal data unless strictly necessary (e.g. dietary requirements for catering purposes).
• If sensitive data such as allergies or dietary preferences is collected, this must be handled with extra care and stored securely.
• Including a privacy notice or a link to your institution’s privacy policy in the form. Below is an exsample of how this can be done:

Confidentiality and GDPR

The University of Bergen (UiB) has published a general privacy statement for event registrations. As food will be served at the event, we may need to collect information about dietary requirements or food allergies (only if relevant).

If you choose to provide this information during registration, it will be treated as sensitive personal data in accordance with the privacy statement.

We use Skjemaker to collect and manage registration data securely and in compliance with GDPR.
