Practical procedures upon completion of doctoral work

Prior to submission - text recognition check

The summary ("kappen") of all PhD thesis' are run through Ouriginal, a text recognition programme. The articles in the thesis will not be checked. If a candidate writes a monograph, the whole thesis is checked by the programme.

The programme can recognize text that has been published elsewhere, and can help ensure that other authors have been cited correctly. The thesis must be run through Ouriginal at the candidate's department prior to submission of the thesis. The report from Ouriginal must be reviewed by the candidate and main supervisor before the application to submit a doctoral thesis is sent to the Faculty. Please note that Ouriginal might not find all sources, and does not replace the candidate's own responsibility to comply with the University of Bergen's standards for the use of written sources.

Dr.philos.-thesis: thesis' that are submitted for evaluation for the degree dr.philos. will be checked in Ouriginal, and the report will be sent to the evaluation committee.

Submission of the thesis

The candidate submits the thesis to the faculty via e-mail to post@psyfa.uib.no. The thesis must sent in one pdf-file, using the template provided by SkipnesThe candidate's department is responsible for ensuring that the application for submission has been correctly filled in and that the necessary attachments have been included before the application is sent to the faculty.  

The following attachments must be included when submitting the thesis:

  • Application for submission of doctoral thesis. The following information must be provided in the form: contact information, names of appointed supervisors, information regarding the completion of the training component, information as to whether the thesis is being submitted for the first or second time, confirmation that the thesis has not been evaluated or submitted for evaluation at another institution, and the proposed evaluation committee. The head of your department must sign page two of the form.
  • A declaration from each of the proposed committee members stating impartiality with regards to evaluating the doctoral candidate’s thesis.
  • Co-author statements (if applicable), signed by the main supervisor and candidate.
  • Documentation of necessary permits/approvals regarding ethical  clarifications etc.

The thesis can be submitted when the mentioned attachments have been filled in and signed. To avoid delays, the candidate should contact her/his department well before planned submission date.

The doctoral candidate will be informed about the composition of the evaluation committee in a copy of the letter of appointment to the members of the committee. As soon as the committee has announced its decision, a copy will be sent to the doctoral candidate who may, within the prescribed time limit, submit comments on the decision.

Evaluation

The evaluation committee is appointed by the board of the Faculty of Psychology. The thesis is submitted for evaluation to the above-mentioned evaluation committee. The evaluation committee submits a reasoned recommendation regarding the thesis to the faculty. The faculty sends the recommendation to the doctoral candidate for comments.

Printing                                                                                                                                         

The University of Bergen has entered into an agreement with Skipnes Kommunikasjon concerning the printing of theses and the assignment of an ISBN number. Printing of the thesis is done after it has been approved by the committee, by uploading it online to Avhandlingsportalen as described here. The thesis is printed in a standard format, and an updated list of previous doctoral degrees at the faculty is enclosed at the end of the thesis. As soon as an order confirmation has been received from Skipnes this must be sent to the department (the printing process will not start until Skipnes has received an order confirmation from the department). Pursuant to the agreement, Skipnes ensures that the correct number of copies is delivered to the National Library of Norway and the University Library. The doctoral candidate is responsible for making copies of the thesis available at the public defence. Skipnes is located in Trondheim, which means that additional time must be allowed for postal delivery. The doctoral candidate must also ensure that one copy of the thesis is submitted to the faculty secretariat.

Press release

In Avhandlingsportalen you submit your press release to the University webpage of new doctorates. Please note that the press release must be written in Norwegian. Ask for help from colleagues or your supervisor with the translation if you’re not fluent in Norwegian.

You need to send a draft of the press release, written according to specific guidelines to the Faculty, no later than three weeks ahead of the public defence. Detailed information regarding deadlines, photo to accompany the press release and submission of the thesis will be sent directly to you when the thesis is approved for public defence.

A successful submission in Avhandlingsportalen presupposes the following:

  • A press release in Norwegian that has been approved by your Faculty.
  • A short and catchy title capturing the essence of the thesis.
  • Personal information (short).
  • Your contact information (e-mail and voluntary phone number).
  • A picture for the press release, with information about the photographer.
  • Time and place for the public defence.
  • Title, time and place for the trial lecture (not obligatory).

The form also submits data to the calendar entry to uib.no on your defence and trial lecture.

Checklist for the public defence:

• The trial lecture and the public examination are normally held at UiB premises.

• The doctoral candidate is responsible for ensuring that copies of thesis are available at the public defence.

• The given topic is announced ten working days before the public defence is held.

• Announcements/ postings are issued by the faculty secretariat approximately one week before the public defence.

• Any dinner arrangements are the private responsibility of the doctoral candidate. Should such a dinner be held, however, it is customary to invite the members of the expert evaluation committee, supervisors and the chairperson of the public defence proceedings.
